HelloWorld, Inc. (referred to as “the Company”) has established this Privacy Policy (“this Policy”) to govern the handling of user information, including personal information, in the services provided by the Company (“the Services”).

Please carefully read this Policy before using the Services. If you do not agree to the terms of this Policy, you may not use the Services. Please refer to the Terms and Conditions for definitions of words and phrases used in this Policy.

1 Collection of User Information

In this Policy, “user information” refers to information relating to the identification of users, communication service usage history, and other information generated or accumulated in relation to users’ smartphones, PCs, and other devices, which the Company collects in accordance with this Policy.

The user information collected by the Company in the Services will include the following, depending on the method of collection:

(3) Use of External APIs

Among the collected information, speech content and volume, projected presentation materials, and video images shared through the screen sharing function may be shared, in a format that does not identify individuals, with external entities that provide APIs for the video chat function.

3 Request for Discontinuation of Use

Users may request the discontinuation of the use of all or part of their user information in accordance with the method prescribed by the Company. In such cases, the Company will promptly discontinue the use of the user information in accordance with its regulations. Please note that since the collection or use of certain user information items is a prerequisite for the Services, the Company will stop collecting such information only when the user withdraws from the Services in accordance with the prescribed method.

4 Consent for Provision to Third Parties

By using the Services, users agree in advance that their information will be provided to the user’s school and the school board to which the school belongs.

5 Provision to Third Parties

Except in cases where the disclosure of personal information is permitted under the Personal Information Protection Law or other applicable laws and regulations, the Company will not provide personal information to third parties without the prior consent of the user or relevant person. However, this shall not apply in the following cases:

(1) When the Company outsources all or part of the handling of personal information within the scope necessary to achieve the purpose of use (e.g., advertising distribution, data analysis, marketing, etc.)

(2) When personal information is provided as a result of the succession of business due to a merger or other reasons

(3) Cases in which the provision of personal information is necessary to cooperate with a national agency, a local government, or an individual or entity entrusted by either a national agency or local government to execute affairs prescribed by law, and obtaining the consent of the user may impede the execution of such affairs

(4) Other cases permitted under the Personal Information Protection Law or other applicable laws and regulations

6 Security Management

To prevent the leakage of personal information obtained by the Company and to ensure its secure management, the Company will make efforts to maintain and improve necessary security control measures, such as establishing regulations and enforcing them among employees. However, please note that these security control measures do not guarantee that leakage of personal information cannot occur. Despite our best efforts, the Company will not be held responsible for any accidents caused by unauthorized acts of third parties or other similar incidents.

7 Requests for Disclosure of Personal Information

When a user requests the disclosure of personal information in accordance with the provisions of the Personal Information Protection Law, the Company will disclose the personal information to the user without delay after confirming the user’s identity (which may require presenting identification documents). If the requested personal information does not exist, the Company will notify the user accordingly. Please note that a fee of 500 yen and actual costs per case will be charged for disclosing personal information.

8 Correction and Suspension of Use of Personal Information

(1) Correction and Suspension of Use of Personal Information

If a user requests the correction of their personal information in accordance with the provisions of the Personal Information Protection Law due to inaccurate information, or requests the suspension of use of their personal information based on the grounds that it has been handled beyond the scope of the publicly announced purpose of use or collected through deception or other wrongful means, or requests the suspension of the provision of their retained personal data to third parties due to violations of the provisions of the Personal Information Protection Law regarding restrictions on the provision of personal data, the Company will verify the user’s identity (by requesting identification documents) and proceed to correct the personal information, suspend its use, or suspend its provision to third parties. The user will be notified of the actions taken. If, based on reasonable grounds, the Company decides not to fulfill the user’s request for correction, suspension of use, or suspension of provision to third parties, the user will be notified accordingly.

(2) Deletion of Personal Information

If a user requests the deletion of their personal information, and the Company determines it necessary to comply with the request, the Company will verify the user’s identity (by requesting identification documents) and proceed to delete the personal information. The user will be notified of the deletion.

(3) Exemptions

The provisions of the preceding paragraphs 8.1 and 8.2 shall not apply in cases where the Company is not obligated to make corrections, suspend use, or comply with deletion requests under the Personal Information Protection Law or other applicable laws and regulations.

10 Revision of Privacy Policy

The Company will regularly review the handling of user information to ensure operational compliance and continuous improvement. As necessary, the Company may make changes to this Policy. In the event of any revisions, users will be notified in accordance with the Company’s prescribed method. Continued use of the Services after the revision shall be deemed as agreement to the revised policy. However, in the case of content changes that require user consent under the law, the users’ consent shall be obtained as prescribed by the Company.

11 Precedence of Japanese Version of Privacy Policy

This Policy was originally prepared in the Japanese language. In the event of any discrepancy between the English-language version and the Japanese-language version regarding the interpretation of the Policy, the Japanese-language version shall take precedence.
