HelloWorld, Inc. (referred to as the “Company”) has established this Privacy Policy (this “Policy”) to show how the Company collects, protects, shares, or uses your personal information (the “Personal Information”) in the services provided by the Company (the “Services”).

When you authorize the linkage with external services, such as social networking services, while using the Services, the following Personal Information may be collected from those external services based on your consent at the time of authorization:

(3) Use of External APIs

Among the collected Personal iInformation, speech content and volume, projected presentation materials, and video images shared through the screen sharing function may be shared, in a format that does not identify individuals, with external entities that provide APIs for the video chat function.

3. Request for Discontinuation of Use

You may request the discontinuation of the use of all or part of your Personal Information in accordance with the method prescribed by the Company. In such cases, the Company will promptly discontinue the use of the Personal Information in accordance with its regulations. Please note that since the collection or use of certain Personal Information is a prerequisite for the Services, the Company will stop collecting such information only when you withdraws from the Services in accordance with the prescribed method.

4. Consent for Provision of Personal Information to Third Parties, and How to Opt Out

By using the Services, you agree in advance that their information will be provided to the your school and the school board to which your school belongs. However, you may choose to opt out of such Company’s use/provision of your Personal Information in accordance with the designated procedure.

5. Provision of Personal Information to Third Parties

Except in cases where the disclosure of Personal Information is permitted under the Act on the Protection of Personal Information (the “Act”) or other applicable laws and regulations, the Company will not provide your Personal Information to third parties without your prior consent. However, this shall not apply in the following cases:

(1) When the Company outsources all or part of the handling of personal information within the scope necessary to achieve the purpose of use (e.g., advertising distribution, data analysis, marketing, etc.)

(2) When Personal Information is provided as a result of the succession of business due to a merger or other reasons.

(3) Cases in which the provision of Personal Information is necessary to cooperate with a national agency, a local government, or an individual or entity entrusted by either a national agency or local government to execute affairs prescribed by law, and obtaining your consent may impede the execution of such affairs.

(4) Other cases permitted under the Act or other applicable laws and regulations.

6. Security Management

To prevent the leakage of Personal Information obtained by the Company and to ensure its secure management, the Company will make best efforts to maintain and improve necessary security control measures, such as establishing regulations and enforcing them among employees. However, these security control measures do not guarantee that leakage of Personal Information cannot occur. Despite our best efforts, the Company will not be held responsible for any accidents caused by unauthorized acts of third parties or other similar incidents.

7. Requests for Disclosure of Personal Information

When you request the disclosure of your Personal Information in accordance with the provisions of the Act, the Company will disclose you the Personal Information without delay after confirming your identity (which may require presenting identification documents). If the requested Personal Information does not exist, the Company will notify you thereof accordingly. Please note that a fee of 500 Japanese Yen and actual costs per case will be charged for disclosing Personal Information.

8. Correction and Suspension of Use of Personal Information

(1) Correction and Suspension of Use of Personal Information

If you requestr the correction of your Personal Information in accordance with the provisions of the Act due to inaccurate information, or request the suspension of use of your Personal Information based on the grounds that it has been handled beyond the scope of the publicly announced purpose of use or collected through deception or other wrongful means, or request the suspension of the provision of the retained Personal Information to third parties due to violations of the provisions of the Act regarding restrictions on the provision of Personal Information, the Company will verify the your identity (by requesting identification documents) and proceed to correct the Personal Information, suspend its use, or suspend its provision to third parties. You will be notified of the actions taken. If, based on reasonable grounds, the Company decides not to fulfill your request for correction, suspension of use, or suspension of provision to third parties, you will be notified thereof accordingly.

(2) Deletion of Personal Information

If you request the deletion of your Personal Information, and the Company determines it necessary to comply with the request, the Company will verify your identity (by requesting identification documents) and proceed to delete the Personal Information. you will be notified thereof accordingly.

(3) Exemptions

The provisions of the preceding paragraphs 8.1 and 8.2 shall not apply in cases where the Company is not obligated to make corrections, suspend use, or comply with deletion requests under the Act or other applicable laws and regulations.

10. Revision of Privacy Policy

The Company will regularly review how the Company maintains Personal Information to ensure operational compliance and continuous improvement. As necessary, the Company may update or change this Policy. In the event of any material revisions, you will be notified in accordance with the Company’s prescribed method. Continued use of the Services after the revision shall be deemed as agreement to the revised Policy. However, in the case of content changes that require your consent under the Act or other applicable laws and regulations, your consent shall be obtained as appropriate by the Company.

11. Prevailing Language of Privacy Policy

This Policy was originally prepared in the Japanese language. In the event of any discrepancy between the English and the Japanese language version regarding the interpretation of this Policy, the Japanese-language version shall prevail.
